Description de l'emploi

Job Description

We are looking for a motivated and detail-oriented Contract Specialist to join our team. The selected candidate will support contract preparation and post-contract processes while coordinating with internal departments and hotel partners.

This position is suitable for candidates with limited professional experience who are eager to develop their skills in purchasing, contracting, and sales support.

Key Responsibilities

  • To ensure that all necessary preliminary information and requirements are collected from tour operators before the season starts, in order to proceed with hotel purchasing activities; to organize the gathered data into reports and communicate them to relevant departments
  • To coordinate the preparation of the target hotel list, ensure necessary approvals, and prepare related reports following the finalization of the list; to participate in the hotel purchasing process and conduct new product research when required
  • To enter hotel pricing, allotment, campaign, block, and stop-sale information into the system, taking into consideration company profitability, market segmentation, and partner differentiation; and to share this information with tour operators
  • To ensure hotel information forms are completed through the system by hotel partners, to collect hotel visuals, and to share the forms and visuals with relevant tour operators
  • To register signed contracts in the approved supplier list, deliver controlled copies to the Executive Secretariat for distribution, transfer contract conditions into relevant reports for informing international tour operators, and communicate any revisions both to tour operators and to internal departments throughout the season
  • To analyze vacant flight seats and unsold hotel rooms upon request, generate effective sales guidance accordingly, and prepare daily sales guidance reports
  • To prepare forecasts for specific tour operators and generate daily forecasts for hotels
  • To establish, maintain, develop, and manage relationships with current and target hotel partners; and to actively support the resolution process in case of issues such as guest complaints, reservation problems, or accounting discrepancies
  • To monitor the occupancy rates of all products listed in the approved supplier list during the season; to conduct risk analysis, collect sales-supportive actions, inform relevant internal units, follow up on protocols for guaranteed and advance-paid hotels, and ensure proper reporting and information flow
  • To ensure that all sales-support conditions received from suppliers are communicated to tour operators
  • To share package price analyses—based on competitor activity monitoring—with contracted hotels, and issue written notifications to correct any pricing discrepancies found in these analyses
  • To respond to inquiries from tour operators regarding product prices and other related topics
  • To plan accommodation and hotel visits for info groups, manage all related correspondence, and follow up on the progress
