Job Description

As a Sales Assistant, you will play a key role in supporting the efficiency and performance of the sales activity. You will provide comprehensive administrative and organizational support to the sales team while ensuring quality, compliance, and respect of deadlines in Request For Proposal processes.

You will actively contribute to the coordination between internal teams and external partners, ensuring smooth communication and efficient commercial operations.

Main Missions & Responsibilities

Request For Proposal

• Analyze tender documents (public and private) and identify administrative and technical requirements
• Collect and consolidate information from internal teams (technical, financial, administrative, etc.)
• Prepare, draft, and format administrative and commercial documents
• Ensure compliance of submitted files with tender specifications
• Coordinate response deadlines with the BID Manager and the Administrative & Financial Department
• Ensure timely submission of bids (electronic platforms or physical submissions)
• Follow up on observations, additional requests, or required corrections
• Track tender results and maintain structured archiving
• Update tracking dashboards and provide regular reporting

Sales Support

• Support the sales team with administrative, logistical, and organizational needs
• Prepare sales presentations, materials, and meeting support documents
• Update customer databases and CRM systems
• Act as an interface between the sales team and internal departments
• Manage calendars, business trips, and reservations
• Identify blocking points and propose suitable solutions
• Ensure proper filing, archiving, and document organization
• Contribute to the continuous improvement of administrative and commercial processes

Required Skills & Qualifications

• Bachelor’s degree (Bac+3) in Business, Management, or equivalent
• Minimum 2 years of proven experience in sales administration/support
• Mandatory experience in Request For Proposal (public and/or private tenders)
• Proficiency in Microsoft Office tools and CRM systems
• Excellent writing and organizational skills
• Strong attention to detail and ability to meet deadlines
• Fluent French and English, both written and spoken
• Strong sense of service, confidentiality, and professionalism
• Ability to multitask and work collaboratively with different teams
• Analytical mindset (advanced Excel skills; BI knowledge is a plus)
• Basic knowledge of commercial project management
• Good understanding of regulatory requirements related to tenders
• Excellent interpersonal communication skills
• Adaptability and continuous improvement mindset
